We are looking to expand our service to reach more families and work more widely across the whole of Shropshire. We have just secured our new HQ and as part of that growth, we secured funding through National Lottery for a new Referrals Coordinator to join our team. This role will work directly with the referral partners using our service to support families they work with, managing referrals, collections and deliveries from our warehouse.
Key responsibilities of the role
- Managing the referral email account, answering emails promptly and professionally.
- Physically put together the bespoke item bundles for families in response to requests, strictly adhering to Little Stars safety and quality standards.
- Reviewing and prioritising requests made and allocating stock to meet the requests.
- Maintain our existing network of referral partners while proactively identifying and developing new partnerships across Shropshire.
- Provide clear information and guidance to partners on the referral process and service criteria, whilst keeping the referral partner database up to date.
- Gather feedback, which will be analysed quarterly to shape our campaigns and ensure our service remains relevant and impactful.
- Setting the schedule of when items can be collected and liaising with the referral partners accordingly.
- Contribute to the monthly ‘wish-list’ of items needed/not needed based on incoming demand and warehouse stock levels.
- Occasionally attend fundraisers and events/meetings to collect feedback and promote the work of Little Stars.
- Upholding company policy relating to confidentiality and the collection and storing of referrals data.
- Being a key member of the Little Stars team and contributing ideas and assistance to ensure the organisation meets its targets and remains successful.
- Overseeing volunteers working in the warehouse, welcoming and directing corporate volunteers helping on an adhoc basis.
Person Specification
Experience and Knowledge
- An understanding of the health and social care systems in Shropshire and how they interact in supporting vulnerable families.
- A good working knowledge of baby items and equipment and their appropriateness for the families Little Stars support.
- Proven experience usingMicrosoft Excel for data management and tracking.
- The physical ability to undertake regular lifting and carrying of items (e.g, prams, sections of cots) within a warehouse environment.
Skills and ability:
- The ability to communicate clearly and flexibly, both in writing and in person, adapting style to various audiences (referral partners, parents, volunteers, the team).
- Ability to build relationships
- Excellent time management and organisational skills with the ability to manage a high-volume workload, meet deadlines, and remain calm under pressure.
- A motivated self-starter, able to work independently with minimal supervision and collaboratively as part of a small team.
- Being flexible and willing to try new approaches.
- A commitment to the aims and ethos of Little Stars and a desire to bring about positive change.
- A full, valid UK driving licence and regular access to a reliable vehicle for work purposes, essential due to the possibility of occasional travel across Shropshire.
Desirable
- Experience of working in or knowledge of the voluntary sector.
Working Hours
16 hours per week at £12.71 p/h. We work Monday to Friday within the hours of 9-5.

This role is a fixed term 24-month contract, in the first instance, and will be offered subject to a clear enhanced DBS check and satisfactory references.
